Sales Administrator

Our client in the wine merchant’s industry are seeking a Sales Administrator to join their successful company.

Key Tasks

1/Order Processing

  • Become proficient in the use of Vintner, the in-house orders, accounts and stock management computer system.
  • Take ownership of the customer service and order processes from start to finish.
  • Pro-actively respond and find solutions to customers’ and sales reps’ queries and issues.
  • Effectively manage time and prioritise tasks to ensure orders are placed within stated deadlines.
  • Become familiar with the entire product range and develop a good level of general wine knowledge.
  • Get to know our customers and their individual requirements.

2/Office Administration

  • Reports, credits and invoices processing
  • Maintain and update customers’ contact information and pricing records.
  • Work in harmony with other departments; sales, management, purchasing and warehouse to share information and to seek greater streamlining and efficacy of processes.
  • Reception duties: answering the phone, distributing mail, meeting and greeting customers and suppliers in person, checking deliveries, ensuring messages are forwarded to the correct recipients.
  • General administrative duties: Filing, photocopying, scanning, faxing, printing and posting weekly invoices, monthly statements and other mailshots.
  • Management of office equipment and stationery orders
  • Take registrations and payments for WSET courses.
  • Maintaining a clean and enjoyable working environment

Candidate requirements

  • Excellent spoken and written English.
  • Strong customer service
  • Professional and smart presentation for this front-of-house position
  • Proficiency in MS Outlook, Word and Excel
  • A minimum of 3 years’ secretarial or office administration and customer service experience
  • Strong arithmetic and numeric aptitude, meticulous attention to detail.
  • Detail oriented, ability to multi-task and work with a high degree of accuracy
  • Experience dealing with customers and solving issues quickly and efficiently on own initiative.
  • Be able to work autonomously and have good problem-solving skills.
  • Honest and trustworthy
  • A good background knowledge of wine; principal wine-producing countries and regions, wine styles, price bands and grape varieties. Prior work experience in the wine industry or a wine-related qualification would be a bonus.
  • Good character to fit in with our happy and dynamic team.
