Overview We are looking for a highly organised and detail‑driven Project Administrator / Document Controller who can apply strong coordination, documentation, and digital skills to support effective project delivery. The role requires the ability to manage project information accurately, support reporting and financial processes, and uphold document control standards across the project lifecycle. Key Responsibilities Project Administration

  • Apply strong organisational and coordination skills to support project managers and wider teams.
  • Prepare and structure meeting agendas, capture actions, and maintain accurate meeting records.
  • Produce clear project reports, presentations, and documentation using digital tools.
  • Support project scheduling activities through effective planning and task follow‑up.

Document Control

  • Manage the full lifecycle of project documents using structured document control processes.
  • Ensure accuracy, version control, and compliance with company document management standards.
  • Maintain accessible, well‑organised document repositories for internal and external stakeholders.
  • Track document updates and maintain accurate document registers.
  • Support audit activities by ensuring documentation is current, complete, and compliant.

Financial & System Support

  • Apply strong administrative skills to support purchase order processing, invoice coordination, and cost tracking.
  • Monitor and record project‑related expenses.
  • Support travel and expense processes in line with company guidelines.

Systems & Tools

  • Maintain accurate documentation and project information within company systems.

Confidently use project and finance tools such as:

  • SAP / GSI
  • Inspire
  • Concur

EssentialKey Skills & Capabilities

  • Ability to perform project administration or document control tasks within structured processes.
  • Strong organisational and administrative capability with a high level of accuracy.
  • Proficiency in managing documents using digital document control systems.
  • Ability to coordinate multiple tasks and deadlines in a dynamic project environment.
  • Clear and confident communication skills with the ability to engage stakeholders effectively.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Desirable

  • Proficiency using SAP / GSI for project or finance processes.
  • Familiarity with Inspire document management systems.
  • Capability to use Concur for expense management.
  • Ability to support large or complex programmes using structured reporting and documentation practices.
