Link Personnel are hiring a Legal Support Team Leader for a Leading Irish Law Firm. This is a unique opportunity for a Senior Legal Secretary, who has mentored or trained new employees, to gain Title, Recognition and Reward for the role.

The Legal Support team is a centralised group of skilled Personal Assistants (PAs) providing high-quality, flexible administrative support across the Firm. Designed to cover planned and unplanned absences, manage peak workloads, and support with overflow, the team ensures continuity and consistency in service delivery to our fee earners.

The Support Team Leader is a dual role: delivering hands-on PA support while leading the day-to-day operations of both teams. Key Responsibilities:PA Support

  • Provide flexible, high-quality PA support across multiple practice areas, particularly during staff absences or periods of increased demand.
  • Manage complex diaries, coordinate meetings, and arrange national/international travel for fee earners across the Firm.
  • Prepare tailored travel itineraries and business development packs, ensuring inclusion of all client-relevant and trip-specific information.
  • Produce, amend, and format documents from digital dictation and handwritten drafts in line with the Firm’s house style.
  • Support billing processes from start to finish, ensuring accuracy and timely completion.
  • Compile and prepare business development materials, including research, biographies, and company insights for client meetings.
  • Maintain and report on business development activity using the Firm’s CRM system (Interaction).
  • Organise and maintain both digital and physical filing systems, ensuring prompt and accurate documentation management.
  • Deliver general administrative tasks (e.g., printing, scanning, photocopying, posting), ensuring all work is completed to a high standard.
  • Respond promptly to ad hoc requests from Partners, Associates, and wider teams across the Firm.

Leadership & Team Oversight

  • Lead and coordinate the activities of the Legal Support and WP teams to ensure seamless, high-quality support.
  • Monitor workloads, balancing task allocation to ensure effective use of team resources and timely delivery of services.
  • Maintain oversight of team capacity and proactively manage resourcing to meet evolving business needs.
  • Provide regular feedback, coaching, and developmental support to team members to foster continuous growth and performance.
  • Act as the primary liaison between business support and legal teams, ensuring clear communication and alignment of expectations.
  • Identify opportunities to enhance processes, improve efficiency, and strengthen collaboration across teams.
  • Produce workflow and capacity reports as required by management.
  • Escalate operational issues or resource constraints promptly to maintain service continuity.

Skills & Experience

  • Minimum of 7 years’ experience as a Legal PA or Secretary, ideally with exposure to multiple legal practice areas.
  • Proven experience in team or workflow coordination, including resourcing and workload balancing.
  • Advanced proficiency in MS Office (Word, Outlook, Excel, PowerPoint).
  • Experience with legal document management, billing systems, and digital dictation software.
  • Exceptional organisational and time management skills, with the ability to juggle competing priorities.
  • Strong interpersonal and communication skills; collaborative, proactive, and solutions-focused.
  • Professional, discreet, and capable of handling sensitive information with integrity.
  • Adaptable, responsive, and committed to contributing to a high-performing, client-focused support team.
