Role Overview

The Executive Assistant provides high-level administrative and operational support to senior leaders within the organization. This role ensures smooth daily operations by managing schedules, coordinating meetings, preparing documents, handling communication, and supporting strategic initiatives. The Executive Assistant acts as a trusted partner to leadership, maintaining professionalism, confidentiality, and strong organizational efficiency.

Key Responsibilities

• Manage complex calendars, schedule meetings, and coordinate appointments, ensuring efficient use of executive time.

• Prepare meeting materials, presentations, reports, and correspondence with a high level of accuracy and clarity.

• Handle communication on behalf of executives, including emails, calls, and internal messages.

• Organize domestic and international travel arrangements, including flights, accommodations, and itineraries.

• Support project coordination by tracking deadlines, following up on action items, and assisting with documentation.

• Maintain organized filing systems for documents, contracts, and confidential materials.

• Assist in planning and coordinating company events, executive meetings, and team activities.

• Liaise with internal teams and external partners to ensure smooth communication and information flow.

• Track expenses, process invoices, manage budgets, and handle administrative financial tasks.

• Perform general administrative duties, including data entry, document formatting, and office coordination support.

• Uphold confidentiality and professionalism while handling sensitive information and executive-level matters.

Qualifications and Requirements

• Bachelor’s degree in Business Administration, Communications, Management, or a related field preferred.

• 2–5 years of experience in executive-level administrative support or office management.

• Strong organizational and time-management skills, with the ability to prioritize multiple tasks.

• Excellent written and verbal communication skills, capable of producing polished and professional documents.

• High proficiency in office productivity tools, including spreadsheets, presentation software, and document management systems.

• Strong problem-solving abilities with a proactive approach to anticipating needs and resolving issues.

• Ability to maintain confidentiality, handle sensitive information, and exercise sound judgment.

• Professional demeanor with strong interpersonal skills for interacting across all levels of an organization.

• Ability to work independently, adapt quickly, and manage tasks in a fast-paced, dynamic environment.

• Attention to detail and commitment to delivering high-quality, error-free work.
