Role Overview

The Executive Assistant provides high-level administrative support to senior leadership, ensuring smooth daily operations and optimal time management. This role involves managing schedules, coordinating meetings, preparing documents, and handling communications on behalf of executives. The Executive Assistant serves as a trusted partner, maintaining confidentiality, anticipating needs, and enabling executives to focus on strategic priorities. Strong organizational skills, discretion, and professionalism are essential for success.

Key Responsibilities

• Manage executive calendars, schedule appointments, and coordinate internal and external meetings.

• Prepare meeting agendas, presentations, reports, and follow-up documentation.

• Handle incoming communications, including emails, calls, and messages, and respond on behalf of executives when appropriate.

• Organize travel arrangements, itineraries, accommodations, and related logistics.

• Assist with expense reporting, invoice processing, and basic financial tracking.

• Maintain organized filing systems, both digital and physical, ensuring easy access to key documents.

• Coordinate cross-functional communication and act as a liaison between executives and team members.

• Support project-related activities by tracking deadlines, monitoring progress, and preparing status updates.

• Handle confidential information with professionalism, discretion, and utmost integrity.

• Contribute to process improvements that enhance administrative efficiency and executive productivity.

Qualifications and Requirements

• Bachelor’s degree in Business Administration, Office Management, Communications, or a related field.

• 2–5 years of administrative or executive support experience in a professional environment.

• Advanced organizational and multitasking abilities, with strong attention to detail.

• Strong written and verbal communication skills for preparing documents and interacting with stakeholders.

• Proficiency with office software, scheduling systems, and document management tools.

• Ability to handle time-sensitive tasks and work under pressure while maintaining accuracy.

• Strong interpersonal skills and a professional, service-oriented mindset.

• Ability to maintain confidentiality and manage sensitive information responsibly.

• Proactive attitude with the ability to anticipate needs and solve problems independently.

• Flexibility and adaptability to changing priorities in a dynamic work environment.
