Job Title:

Hospital Services Operator

Grade / Salary Scale:

Aligned to the Medical Laboratory Aide Scale, ranging from €42,033 - €49,050

Despatch Supervisor and CMS, Components and Despatch

Location:

Munster Regional Transfusion Centre, Cork

Annual Leave:

27 days pro rata per annum

Hours of Work:

37.5 hours per week

Purpose of Role

  • The selection and issuing of blood and medicinal products.
  • General upkeep of the Despatch Department; to include cleaning, daily/weekly checks of equipment and replacement of consumable stocks.
  • Using customer service communication skills, work with various customers and stakeholders both internal and external.
  • This team performs day to day operational activities while ensuring quality compliance in all aspects of their duties.
  • Service operates 24/7 on shift basis

Shift pattern associated with this position is as follows:

  • Week 1: Friday: 22:00 – 09:00

Saturday: 23:00 -09:00

Sunday: 23:00 – 09:00

  • Week 2: Monday: 22:00 – 09:00

Tuesday: 22:00 – 09:00

Wednesday: 22:00 – 09:00

Thursday: 22:00 – 09:00

  • Weeks 1 and 2 alternate so that staff member works 7 nights on followed by 7 nights off.
  • Note: Hours during training period will vary and will be during routine hours in the main.

Key Duties and Areas of ResponsibilitiesKey Deliverables

  • Participate in a professional, punctual and dedicated team in the Despatch Department.
  • Performing day to day operational activities of Despatch Department.
  • Selection and issue of hospital orders in a timely manner and prioritise same.
  • Perform daily stock checks in Despatch Department.
  • Prepare and dispatch stock deliveries to contracted third party courier.
  • Liaise with Despatch Supervisor regarding stock of both blood products and manufactured product levels.
  • Perform stock checks and reconciliation of blood products.
  • Labelling and discard of blood products.
  • Product recall and non-conformances.
  • Assist in calibration/routine checks on equipment in the Despatch Department.
  • Use of all software systems in operation in the Despatch Department.
  • Quality monitoring of blood products in the Despatch Department.
  • Comply with GLP/GMP/GDP guidelines at all times.
  • Cleaning de-icing and decontamination of equipment in the Despatch Department.
  • Maintenance of GMP and non-GMP records in the Despatch Department.
  • Stock management of consumables and reusable stock.
  • Attend mandatory and non-mandatory training as required.
  • Participate in training of staff.
  • Perform all processes and procedures as deemed necessary to support the selection, production, issuing, packaging and distribution of all blood products as required.
  • Participate in the work roster covering 24/7, 365 days per year as required and overtime as required.
  • Provide cover for the current out of hours roster as required.
  • (Note – the roster hours may be subject to change based on operational requirements and may also vary dependent upon external factors).
  • Perform Security duties such as locking up buildings, enabling/disabling alarms and investigating alarms.
  • Implementation and maintenance of a Quality Management System in the department.
  • Perform all work to the highest professional standards.
  • Perform any appropriate duties requested by the Despatch Supervisor/Chief Medical Scientist or designee.
  • To be responsible for the quality of their work and to perform their duties in accordance with the IBTS policies.
  • Maintain strict compliance with all relevant healthcare GDPR legislation.
  • Actively participate in internal and external quality audits and Quality Assurance/ Proficiency monitoring as appropriate.
  • Actively participate in and promote continuing education consistent with the role or as assigned by the manger.
  • Make the most efficient use of developments in information technology for both donor/patient care and administrative support.
  • Conform to the IBTS Health and Safety regulations.

Person Specification / Selection CriteriaEssential Criteria

  • Leaving certificate or equivalent
  • Good organisational skills with the ability to prioritise workload
  • Excellent interpersonal and communication skills
  • The ability to work as part of a multi-disciplinary team
  • Good attention to detail with a high level of accuracy
  • Excellent computer literacy skills

Desirable Criteria:

  • Experience in a GMP environment/completed a relevant course in GMP such as higher Certificate in GMP and Technology
  • Experience in a Pharmaceutical / Warehousing / Hospital Services / Operative Role
